Verified employee engagement software pricing as of July 2026: what vendors publish, what free licenses cap, and how to compare paid plans fairly.
Employee Engagement Software Pricing in 2026: Free Licenses, Paid Licenses, and What Each One Actually Includes

On this page

Employee engagement software is a category of workplace tools that collects feedback, recognition, and performance signals from employees on a recurring schedule so leaders can act on problems before those problems turn into resignations.

Employee engagement software pricing covers a wider range than most buyers expect. Across the nine vendors checked for this article in July 2026, published list prices run from $0 to $16 per user per month. Four of the nine publish no prices at all.

That split is the first useful signal. Vendors that sell to small and mid-sized teams put numbers on the page. Vendors that sell mostly to enterprises route you to a quote.

What Vendors Actually Publish (Checked July 2026)

Every figure below comes from the vendor's own public pricing page, checked in July 2026. Review sites and aggregators tend to cite each other rather than the source, so their numbers drift.

Vendor Published list price (as of July 2026) Billing Stated minimum Free license
Matter Free $0; Basic $1/user/mo; Pro $3/user/mo; Surveys add-on +$2/user/mo Billed annually None published Yes, free forever
Bonusly Free $0; Team $5/user/mo, or $50/user/year; Bizy AI add-on $2/user/mo; Organization custom Monthly or annual None published Yes, up to 8 users
Lattice Engagement $4/seat/mo; Goals & OKRs $8; Performance $10; Foundations bundle $13; Compensation +$6; Grow +$4 Annual only $4,000 annual agreement No
15Five Engage $4/user/mo; Perform $11/user/mo; Total Platform $16/user/mo; Kona Meeting Assistant +$2; Compensation from +$9 Billed annually None published No
Happily.ai $9/employee/mo billed monthly; $8/employee/mo billed annually at 250 employees ($2,000/mo, $24,000/year) Monthly or annual Pricing slider starts at 20 employees Separate free survey tool
Workleap Standard from $4,999/year; Pro from $11,999/year; Enterprise custom at 250+ employees Annual, flat fee Flat platform fee No
Culture Amp Not published. Request a quote or a demo Not published Not published No
Leapsome Not published. Modules quoted individually Not published Professional services require an annual contract of US$6,000 or more No
Nectar Not published. "Get pricing" or book a demo Not published Not published No

Two things worth noticing.

The headline per-seat number is often not the number you pay. Lattice lists its Engagement module at $4 per seat per month and separately states a $4,000 minimum annual agreement. A 40-person team buying Engagement alone would owe $1,920 at list price. The minimum makes it $4,000, which works out to an effective $8.33 per seat per month.

"Contact sales" is a legitimate model, not a red flag. Culture Amp, Leapsome, and Nectar all price by quote, which usually means the number moves with headcount, module mix, and services. It also means you cannot comparison-shop them from a browser tab, so build an extra two weeks into your evaluation.

The Four Pricing Models, and Who Each One Penalizes

Almost every quote is one of four models underneath. Each optimizes for something, and each quietly taxes a specific kind of buyer.

Model How you are billed What it optimizes for Who it penalizes Live example (July 2026)
Per seat Every employee in the directory, used or not Predictability for the vendor and simple budgeting for you Companies with low adoption, deskless staff, or high headcount churn. You pay for people who never log in Lattice Engagement at $4/seat/mo; 15Five Total Platform at $16/user/mo
Per active user Only the people who actually use it in a given month Buyers who are unsure adoption will stick Vendors, which is why almost nobody offers it. None of the nine vendors checked publishes per-active-user pricing No published example found
Flat platform fee One annual number regardless of headcount, within a band Larger teams, who get a falling effective per-seat rate as they grow Small teams, who pay the same floor as a company three times their size Workleap Standard from $4,999/year; Lattice's $4,000 annual minimum acts as a floor
Freemium $0 up to a cap, then per seat Teams testing a habit before funding it Anyone who needs history, analytics, export, or surveys, which is usually what sits behind the paywall Bonusly Free up to 8 users; Matter Free with kudos only

None of these is dishonest. They are built for different buyers. The mistake is comparing a flat fee against a per-seat rate without converting both to the same unit at your actual headcount.

If This, Then That: Choosing a Pricing Model

  • If you have fewer than 30 employees and want to test a recognition habit, choose freemium. Bonusly's free plan covers up to 8 users and Matter's has no published seat cap.
  • If you have 30 to 80 employees, run the flat-fee math before the per-seat math. A $4,000 or $4,999 floor can double your effective per-seat rate at this size.
  • If you have 80 to 500 employees and expect adoption above 70%, per seat is usually the cheapest honest deal, because you are using what you buy.
  • If your last tool became shelfware, do not buy per seat again at the same price. Negotiate per-active-user terms, or buy a platform that will commit to an adoption number in writing. Our comparison of Culture Activation and engagement surveys covers why that distinction changes the math.
  • If you need compensation cycles or formal calibration, price the add-ons before the base. Lattice Compensation adds $6 per seat per month and 15Five's compensation package starts at $9, which can exceed the base plan.

What a Paid License Actually Includes That a Free Tier Does Not

Free tiers are usually a single feature. Paid licenses are usually a system. Across the vendors checked in July 2026, the difference falls into four buckets.

Analytics. Matter's free plan covers kudos recognition, a template library, and Feedback Friday. Analytics and reporting start at Basic, $1 per user per month. This is the category's most common paywall: collect the signal for free, pay to see the pattern.

Surveys. On Matter, surveys are not in any base plan. They are a $2 per user per month add-on. If you are buying for measurement rather than recognition, the free plan is a different product, not a smaller one.

Identity and admin. SAML SSO sits on Bonusly's Organization plan and on Workleap's Pro tier at $11,999 a year and up. SSO, directory sync, and HRIS integration are optional add-ons at Happily.ai. If IT has to approve the tool, budget for the tier that has SSO.

Support. Bonusly's Team plan adds 24/7 chat support and its Organization plan adds a dedicated CSM. Leapsome states that professional services require an annual contract of US$6,000 or more. Rollout support gets underweighted at signature and blamed after launch.

What Free Tiers Cap

Free employee engagement software is real, and for some teams it is enough. Here is where the ceilings sit, per the vendors' own pages in July 2026.

Cap type What it looks like in practice Verified example
Seats A hard headcount ceiling, after which the whole org converts Bonusly Free: "Up to 8 users"
Features Recognition works, measurement does not Matter Free: kudos and Feedback Friday included; celebrations, custom kudos, and analytics start at $1/user/mo
Surveys Absent entirely, not a downgraded version Matter: surveys are a paid add-on at +$2/user/mo, not part of any base tier
History and export You can see this month, not last year, and you cannot take the data with you Reporting and export sit behind the first paid tier at Matter; confirm retention length in writing with any vendor, since almost none publish it
Identity and admin No SSO, no directory sync, manual user management SAML SSO is an Organization-tier feature at Bonusly

History retention is the cap vendors publish least often and buyers regret most. Ask about it in writing before you launch. A year of engagement data you cannot export is a year you cannot put in front of your board.

Happily.ai runs a free employee engagement survey platform separate from its paid product, with templates, custom surveys, team analytics, AI-generated reports, and CSV export at no cost. It publishes no seat or retention caps either, so ask us the same question.

What Changes for Companies Under 50 People

Under 50 employees, the per-seat rate almost stops mattering. Minimums take over.

A 40-person company buying Lattice Engagement at the published $4 per seat per month would owe $1,920 a year at list. The $4,000 minimum annual agreement raises that to $4,000, an effective $8.33 per seat per month. Workleap's Standard tier starts at $4,999 a year whether you have 15 people or 150. Happily.ai's pricing slider starts at 20 employees.

So the practical picture at 40 people, as of July 2026: free options are real (Bonusly Free covers 8 users, Matter Free covers kudos recognition with no published seat cap), cheap paid options are real (Matter Basic at $1 per user per month is $480 a year), and platform-grade tools land around $4,000 to $5,000 a year whatever the vendor, because minimums set the floor.

Is $4,000 to $5,000 worth it at 40 people? Sometimes. Gallup estimates the cost of replacing an individual employee at one-half to two times that employee's annual salary (Gallup, 2019). At a $60,000 salary, one regrettable resignation costs $30,000 to $120,000. That is six to twenty-four years of a $5,000 platform fee.

The honest answer is that at 40 people a founder usually still knows who is struggling. The tool is not buying information you lack. It is buying you a record. If you can name every person at risk this quarter, buy the free tier and spend the $5,000 on manager coaching. Our guide to affordable employee engagement for growing companies goes deeper on that sequencing.

Cost Per Seat Versus Cost Per Active Employee

Here is where price-per-seat comparisons break.

Take two real published rates. Lattice's Engagement module is $4 per seat per month. Happily.ai's full platform is $8 per employee per month billed annually at 250 employees. At 250 people that is $12,000 a year versus $24,000. The cheaper option looks obvious.

Now divide by the people who actually use it. Happily.ai reports 97% adoption across its customer base against a 25% industry average for culture tools (Happily.ai). Lattice publishes no adoption figure, so the table uses that same 25% average as a placeholder rather than a Lattice number. Ask them for theirs.

Scenario at 250 employees Annual cost Adoption Cost per actively engaged employee per year
$4/seat/mo module at 25% adoption $12,000 25% $192
$8/employee/mo platform at 97% adoption $24,000 97% $99

The more expensive line item is the cheaper cost per person who uses it. Two caveats keep this honest. These are different products: Lattice's $4 tier is an engagement survey module, while Happily.ai's $8 covers engagement, performance, coaching, and analytics in one plan. And 25% is Happily.ai's own figure, not an audited benchmark. No vendor should supply both sides of a comparison, so treat it as a prompt rather than an answer.

The prompt is the right one: what does this vendor's adoption look like at month twelve, and will they put that number in the contract? Our roundup of engagement tools for growing companies compares the field on that basis rather than on features.

Where Happily.ai Fits, and Where It Does Not

Happily.ai is a Culture Activation platform priced at $9 per employee per month billed monthly, or $8 per employee per month billed annually at 250 employees, with engagement, performance, coaching, and analytics in one plan rather than as separate modules (as of July 2026).

Best for: companies of 50 to 500 employees that already bought an engagement tool, watched adoption fall off after the first quarter, and now need daily behavior to change rather than a better quarterly report.

The mechanisms are specific. Employees earn and give gems, a recognition currency redeemable for real perks, which is what keeps daily participation from decaying. DEBI, the Dynamic Engagement Behavior Index, is a 0-100 team engagement score built from observed daily behavior rather than from a periodic engagement survey. Think of it as a scale you step on weekly instead of once a year. Manager scorecards show each manager where they stand on their team's signals, and the hotspot map flags teams that are drifting before anyone resigns. Happily.ai reports 40% turnover reduction and roughly $480,000 a year in avoided turnover cost at 100 employees.

Where it does not fit:

  • Under 20 employees. The pricing slider starts at 20. Use a free tier.
  • If you only want recognition in Slack. Matter at $1 per user per month or Bonusly's free plan does that job for a fraction of the cost.
  • If compensation cycles are your main requirement. Lattice Compensation and 15Five's compensation package are built for that workflow. Happily.ai is not.
  • If you need enterprise procurement scale. Culture Amp serves 6,000-plus companies with benchmark data at a depth we do not match.

When a Free or Cheaper Tool Is Genuinely the Right Answer

Buying too much platform too early is a common and expensive mistake. A $0 plan or a $1 per user per month plan is the right call if any of these describe you:

  • Fewer than 30 employees, and leaders still talk to everyone weekly.
  • You want one habit, usually recognition, to take hold before you fund anything larger.
  • You need anonymous feedback and nothing else.
  • Your HR team already has capacity to turn raw survey data into action manually.
  • Retention and manager quality are not what you are trying to move this quarter.

Questions To Ask Before You Compare Any Two Prices

  1. What is your sustained adoption rate at month twelve, and will you commit to it contractually?
  2. What is the total first-year cost including implementation, SSO, HRIS integration, and support?
  3. Is there a minimum annual spend, and what is my effective per-seat rate at my headcount?
  4. What happens to my price if headcount drops 20% mid-contract?
  5. How long is data retained, and can I export it in full if we leave?

If a vendor answers only with features, you still do not have a price.

Frequently Asked Questions

How much does employee engagement software cost per employee?

As of July 2026, published list prices run from $0 to $16 per user per month. Recognition-only tools sit at the low end (Matter Basic $1, Matter Pro $3, Bonusly Team $5). Single-purpose engagement modules sit near $4 per seat per month (Lattice Engagement, 15Five Engage). Full platforms run $8 to $16 (Happily.ai at $8 billed annually at 250 employees, 15Five Total Platform at $16). Culture Amp, Leapsome, and Nectar require a quote. Price add-ons separately, because SSO, HRIS integration, and compensation modules sit outside the base plan at most vendors.

Is there free employee engagement software?

Yes, with real caps. Bonusly offers a free plan for up to 8 users. Matter offers a free-forever plan covering kudos recognition and its template library, with analytics starting at $1 per user per month and surveys as a $2 per user per month add-on. Happily.ai runs a free employee engagement survey platform with templates, analytics, and CSV export. Free tiers generally cap seats, analytics, history retention, and export. If you need to show a trend across quarters, you will need a paid license.

What is the difference between a free license and a paid license for employee engagement software?

A free license usually gives you one working feature, typically recognition or a basic survey. A paid license adds analytics, data history and export, SSO and directory sync, survey capability, and human support. On Matter, analytics start at the first paid tier and surveys are a separate add-on. Check which specific feature you are buying before comparing rates.

What is the best employee engagement software for a small business?

Under 30 employees, start with a free tier from Matter or Bonusly, because minimum annual spends make platform tools expensive at that size. Between 30 and 80, compare total annual cost rather than per-seat rate: Lattice carries a $4,000 minimum annual agreement and Workleap Standard starts at $4,999 a year, so your effective per-seat rate can be double the advertised one. Above 80, per-seat pricing starts working in your favor.

Why do some employee engagement vendors not publish pricing?

Usually because the number genuinely varies by headcount, module mix, and services. Culture Amp, Leapsome, and Nectar all price by quote as of July 2026. That is not a bad sign, but it does mean you cannot compare them in an afternoon. Ask for total first-year cost including implementation so quoted and published vendors land on the same line.

Bottom Line

Employee engagement software pricing only becomes a real comparison once you convert every quote to the same unit: total annual cost at your actual headcount, divided by the people who will still be using it in month twelve.

Under 50 people, minimums decide your bill and free tiers are often the correct answer. Between 50 and 500, adoption decides your bill, and the cheapest line item is frequently the most expensive cost per person who uses it. Above 500, you are negotiating anyway.

Put cost per employee who actually uses the tool in your board deck, next to the cost of one resignation you did not see coming. Price per seat belongs in the appendix.

Want to run that math for your headcount? Book a demo and we will price it against your current tool, adoption rate, and turnover cost, whether or not Happily.ai turns out to be the right fit.
